Privacy Policy

LogisticsUI ("LogisticsUI", "we", "us") is operated by Mitch Whitnack, a sole proprietor based in Vancouver, British Columbia, Canada. This policy explains how we collect, use, store and protect personal information when you use logisticsui.com and the LogisticsUI service (the "Service").
We follow Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and British Columbia's Personal Information Protection Act (PIPA).
1. Information we collect
Account information. Names, email addresses and login details of your users, collected through our authentication provider.
Data from systems you connect. When you connect a third-party system, we access the data needed to run the workflows you set up. Examples include your warehouse management system, shipping platform, e-commerce store or QuickBooks Online. This can include orders, inventory, customer records, invoices, payments and contact details of your own customers.
Messages and files. Messages, files and images you send to the Service through the web app, by email to your LogisticsUI email address, or through connected chat channels such as Telegram or WhatsApp.
Technical information. Logs of requests, errors and system activity, used to operate and troubleshoot the Service.
2. How we use it
We use your information only to:
- provide, operate and support the Service for you;
- run the automations, alerts and workflows you configure;
- troubleshoot errors and keep the Service secure;
- communicate with you about your account and the Service.
We do not sell your information. We do not use your data to train AI models. Data from your connected systems is used only to provide the Service to you, and is never shown to or used for any other customer.
3. QuickBooks Online data
If you connect QuickBooks Online, we access your QuickBooks company only with your authorization, using Intuit's OAuth process. We use that access only to read and write the records the Service needs, such as customers, items, invoices and payments, to perform the actions you request. We store the access credentials Intuit issues in encrypted form. You can disconnect at any time by asking in the LogisticsUI chat, or from within QuickBooks. When you disconnect in LogisticsUI, we revoke our access with Intuit and delete the stored credentials. When you disconnect from within QuickBooks, Intuit revokes our access and we can no longer reach your QuickBooks data; the encrypted credentials stay stored, unusable, until you disconnect in LogisticsUI or ask us to delete them.
4. Service providers
We use the following providers to run the Service. They process data on our behalf, only as needed to provide their service to us:
- Anthropic and OpenAI: AI model processing
- E2B: secure, temporary computing environments where the AI runs calculations on your data
- Postmark: sending and receiving email
- Google: Google Sheets, Drive and Docs, when you use features that create or read files there
- Railway: application hosting and databases
- Clerk: user authentication
- LangSmith (LangChain): AI request tracing and diagnostics
- Inngest: background job processing
- Telegram and Meta (WhatsApp): chat messaging, if you use those channels
5. Where your data is stored
Some of our service providers store and process data outside Canada, including in the United States. Information processed outside Canada is subject to the laws of that jurisdiction. We remain responsible for your information when it is handled by our providers.
6. Retention and deletion
We keep your information while your account is active. If you cancel the Service, we delete your data within 30 days, except where we are required by law to keep it longer. You can ask us to delete specific data at any time.
7. Security
We protect your information with reasonable safeguards. These include encrypted connections, access controls and tenant separation, so one customer's data cannot be accessed by another. The access credentials issued when you connect QuickBooks Online or Jobber are encrypted before we store them. Credentials for other connected systems are stored as environment variables with our hosting provider, Railway, and protected by Railway's security.
If you export data to Google Sheets, the sheet is created as view-only and can be opened by anyone who has its link. Share that link only with people who should see the data.
8. Your rights
You can ask to access, correct or delete the personal information we hold about you, and you can withdraw consent to our use of it, subject to legal and contractual limits. To make a request, contact us at the address below. We will respond within 30 days.
9. Changes to this policy
We may update this policy from time to time. We will post the updated version on this page and change the "Last updated" date.
